Do you provide airport transfers:
 

For rentals 10 days or more transfers are included. For rentals 5-9 days, we will gladly assist with arrangements for a meet & greet, which will be for your costs.

How do I make a reservation and how is the booking confirmed?
 

Complete the online booking form and we will respond via email to you. Or you can email us directly at info@sun-sandcarrental.com. Your booking will be confirmed via email once 50% deposit has been paid.

Is there is a minimum rental period?
 

Yes, the minimum rental period is 5 consecutive days.

Do I need a credit card to rent a vehicle?
 

Either a credit or debit card will be required. The card must be with you when you collect the vehicle as a pre-authorization is required for the security deposit. As this is a non-financial transaction, there should be no bank charges on a credit card if the full amount is released upon return of the vehicle, as per T&C's.

If you do not have a credit card, a hold can be placed on some debit cards, however your bank may charge you a fee for the hold as well as the refund. If your card does not have a pre-authorisation (hold) facility, then a transaction can be processed for the hold, which will be refunded to you upon return of the vehicle, as per the T&C's. You will be charged bank fees by your bank for these transactions.

Are Virtual Cards (e.g. Apple Pay) American Express and Diners Club accepted?
 

We only accept Visa and Mastercard.

Virtual Cards can be used however we will require the original bank card's actual number as the virtual transaction creates a unique number for each transaction thus the pre-authorisation cannot be released on a POS terminal.

Do I need to pay a deposit?
 

Yes, a 50% deposit is required to secure your booking. Full payment is due 30 days before rental period.

Payment can be paid via an electronic bank transfer into our account or online following the link in the invoice sent to you.

Is insurance available and is personal liability cover included?
 

SSCR vehicles are insured with a standard insurance including third party cover. The excess on the vehicle, as stipulated in the Car Rental Agreement, will be held as a pre-authorisation on your credit card, so please ensure that your credit card has sufficient funds to allow for this. Should the vehicle be damaged, the damage will be assessed, and the charges deducted from the security deposit. If a reduced liability waiver is purchased, the liability will be limited to the amount stipulated on the terms and conditions, unless in breach of SSCR terms and conditions as stipulated in the terms and conditions. In this instance you will be liable for the full costs of the damage or total loss.

It should be noted that this is NOT a personal liability cover. SSCR highly recommends that travel and personal insurance is taken out prior to your departure to Namibia.

What is your cancellation policy:
 
  • Cancellation occurs more than 30 days before rental: Full refund LESS bank fees
  • Cancellation fee where cancellation occurs 14 to 30 days before rental: 15% of full value of booking
  • Cancellation fee where cancellation occurs 7 to 13 days before rental: 25% of full value of booking
  • Cancellation fee where cancellation occurs 6 to 1 day before rental: 50% of full value of booking
  • Cancellation less than 24 hours before rental or a no-show: 100% of full value of booking

Note: all charges and fees are for the Renters account.

What is the minimum and maximum driver age?
 

Our minimum driver age is 23 years, and he/she must be in possession of a driver's license for minimum 1 year. The vehicle may not be driven by persons over the age of 85 years.

What documents do I need with me when I pick up the vehicle?
 

You will need your driver's license and the license of any additional drivers, which must all be valid and unendorsed. If the language on the license is not in English, you will require an International Drivers' license. You will also need a copy of your passport.

Where do I pick up the vehicles and is it possible outside of office hours?
 

Vehicles are picked up and returned in Windhoek. Our office hours are Monday to Friday 8h00 – 16h30.

With prior arrangement pick up and return outside of office hours can be scheduled, however, is restricted to between 7h00 and 17h30 Monday to Friday. A surcharge will apply for weekends and public holidays and is restricted to between 08H00 until 13H00.

Exceptions can be made; however, this needs to be arranged when making your booking and thus prior to your arrival in Namibia.

What happens if I am delayed for pick up or return?
 

We will use WhatsApp to communicate with you throughout your stay, the number will be provided on your booking confirmation thus you can advise us of any flight delays. If you are running late, please advise us on our SSCR WhatsApp number. If you return the vehicle more than an hour later than the agreed time, additional fees may be charged.

If I return the vehicle early, will I get a refund?
 

The vehicle can be returned early, however no refunds will apply.

What do I do if I am involved in an accident?
 

If you are involved in any accident or collision, whether a traffic accident with a third party or a single vehicle accident, it is important you inform us of the incident as soon as possible. A damage report form is in the glove compartment and is to be completed. If an accident or incident that results in damage or loss is not reported to SSCR within 24 hours, the Renter will be liable for full damages/loss.

All traffic accidents must be reported to the nearest police station within 24 hours, and it is your responsibility to do so. A copy of report is to be sent to SSCR with the accident case number.

What do I do if I break down?
 

Should you have a breakdown, please contact us immediately so that we can manage the situation. If you have travelled to extremely remote areas, we will not be able to assist with a breakdown service within 24 hours. Please take note of restricted areas in the terms and conditions. The Renter is liable for tow-in charges in event of an accident or damage to vehicle, with the exception of a mechanical breakdown.

What happens if I get a traffic fine?
 

Traffic fines in Namibia can be paid at a police station or the Clerk of the Court, and it is recommended you pay any spot fines as soon as possible. If the fine is directed to SSCR, you will be invoiced for the fine and we will add a handling fee. If you are fined, please contact us via WhatsApp and we will advise how to make payment.

Can I smoke in the vehicle?
 

No, smoking is not allowed. Additional charges for cleaning will be incurred and deducted from your security deposit.
